Seriously Cool Events Corporate Event Sustainability Policy
Purpose
This policy outlines the principles and practices that will guide the planning, execution, and evaluation of all corporate events to ensure they are environmentally responsible and socially sustainable.
Scope
This policy applies to all corporate events, including meetings, incentives, conferences, exhibitions (MICE), team-building activities, destination management, and overseas events organized by our company.
Sustainability Principles
- Environmental Responsibility
- Waste Management: Minimize waste by reducing, reusing, and recycling materials wherever possible. Use digital communication methods to reduce paper usage.
- Energy Efficiency: Prioritize venues and suppliers that utilize renewable energy sources, and implement energy-saving practices such as efficient lighting and temperature control.
- Carbon Footprint Reduction: Offset carbon emissions from travel and event activities by supporting certified carbon offset programs. Encourage the use of public transport or carpooling for local attendees.
- Sustainable Sourcing: Work with vendors and suppliers who provide eco-friendly, fair-trade, and locally-sourced products. Avoid single-use plastics and prioritize biodegradable or reusable alternatives.
- Social Responsibility
- Inclusive Practices: Ensure that all events are inclusive and accessible to participants of varying abilities and backgrounds.
- Ethical Partnerships: Collaborate with partners and suppliers who adhere to ethical practices, ensuring fair wages and safe working conditions.
- Community Engagement: Consider giving back to the local community by partnering with non-profits, organizing volunteer activities, or donating surplus materials and food to those in need.
- Sustainable Event Planning
- Venue Selection: Choose venues that have a strong environmental policy and offer sustainability certifications (e.g., LEED-certified venues, Green Key facilities).
- Digital Solutions: Promote the use of virtual and hybrid event formats to reduce travel and associated carbon emissions. Use digital tickets, agendas, and communications.
- Catering: Opt for locally-sourced, organic, and plant-based catering options to reduce the environmental footprint. Minimize food waste by planning accurate portions.
- Travel to events: Where possible we share vehicles to events.
- Monitoring and Reporting
- Sustainability Metrics: Track key sustainability metrics such as waste produced, energy used, and carbon emissions. Use this data to continually improve the sustainability of future events.
- Transparency: Communicate the sustainability efforts made for each event to all stakeholders, including clients, partners, and attendees.
- Post-Event Evaluation: Conduct post-event evaluations to assess the effectiveness of sustainability initiatives and gather feedback for future improvements.
Policy Review
This policy will be reviewed annually to ensure it remains relevant and effective in promoting sustainability at corporate events. Adjustments will be made based on technological advancements, industry standards, and feedback from stakeholders.
